That’s why our Legal Receptionist is one of the most important people on our team. You will be the first voice someone hears when going through a difficult time, the first face a family sees when they arrive to plan for their future, and the steady presence that makes every client feel they are in the right place.

What You’ll Do
Own the First Impression.
Serve as the warm, professional first point of contact for our clients and their families - in person, by phone, and by email. Welcome everyone with empathy and care, guide them through their visit, and ensure every interaction reflects a calm, organized, and dignified environment.
Manage Front Desk Communications
Answer incoming calls promptly, listen attentively, and route inquiries appropriately. Handle inbound and outbound communication with clarity, professionalism, and strong attention to detail.
Coordinate Scheduling and Client Flow
Schedule and confirm consultations, meetings, and follow-ups. Support attorney and team calendars, manage client arrivals, and ensure meetings stay on time and transitions run smoothly throughout the day.
Maintain a Client-Ready Office Environment
Keep the common areas and conference rooms clean, organized, and welcoming at all times. Prepare rooms in advance of meetings, ensure materials are ready, and reset spaces between appointments. Manage office supplies and inventory to support daily operations.
Support Client Intake, Records, and Documentation
Assist with gathering client information, maintaining accurate and confidential records, and supporting the team in handling client documentation through scanning, organizing, and file management.
Provide Administrative and Operational Support
Receive and distribute mail and deliveries, handle general clerical tasks, and support firm initiatives such as events, seminars, and other operational needs.

Technical Proficiency and Relevant Experience
You are comfortable with technology and can quickly learn new systems, including legal practice management software. Experience in a client-facing, administrative, or professional services role is required; experience in legal, healthcare, or senior services is a plus. Notary Public status (or the ability to obtain it in Wisconsin) is required.
